Capacity Simulation

Build a sample workweek and watch usable capacity change as meetings, administration, planned work and buffer are added.

Use this interactive example to understand why a nominal 40-hour week rarely means 40 hours of project capacity. You can add or remove categories and watch the remaining capacity change immediately.

How this tool works

Start with total weekly hours, then adjust meetings, email and administration, buffer and planned project work. The simulation recalculates remaining unassigned capacity and shows when the sample plan exceeds the week.

How to read the result

The simulation teaches the arithmetic behind the workload tools. It does not prescribe how much time any category should occupy. A role with many meetings can be entirely appropriate if that is where its value is created.

Example

Starting from 40 hours, adding 8 hours of meetings, 6 hours of email/admin and 4 hours of buffer leaves 22 hours. Adding 25 hours of project work pushes the sample plan three hours over capacity.

What to watch for

  • Avoid double-counting categories.
  • Treat buffer as intentionally unassigned capacity.
  • Use your real workload in the Where Did My Time Go? audit after exploring the sample.
