How this tool works

Enter available capacity and planned workload, then test changes such as moving task hours, reducing scope, reducing meeting load or changing buffer. The tool updates the gap after each change and shows whether the revised plan fits.

How to read the result

A green result means the arithmetic fits the capacity you entered. It does not prove the plan is comfortable or that the underlying estimates are correct. Preserve some margin when uncertainty is high.

Example

A plan has 24 available hours and 31 planned hours. Moving 3 hours of work and reducing a 2-hour meeting by one hour still leaves a 3-hour shortfall. Reducing project scope by another 3 hours brings the plan to capacity.

What to watch for

  • Do not eliminate every buffer simply to make the numbers fit.
  • Changes should be realistic actions you can actually make.
  • Recheck estimates if the only workable scenario requires aggressive scope reduction.

You can test a larger capacity if that time genuinely exists, but the simulator is designed to make trade-offs visible rather than assuming extra hours are always available.
