How Much Time Do Meetings Really Take?

Calendar duration is only one part of meeting workload.

A meeting may require preparation before it starts and follow-up after it ends. If you ignore those surrounding tasks, the weekly schedule can look more open than it really is.

Count preparation and follow-up separately

Suppose a team has six meetings each week. The average meeting lasts 40 minutes. Each meeting also needs about 10 minutes of preparation and 10 minutes of follow-up.

The visible calendar time is:

6 × 40 minutes = 240 minutes, or 4 hours.

The fuller time calculation is:

6 × (40 + 10 + 10) = 360 minutes, or 6 hours.

That two-hour difference matters when the same week also contains project deadlines and routine work.

Use averages that reflect the meeting type

A five-minute preparation estimate may be sensible for a familiar daily check-in but unrealistic for a client presentation.

If your meetings vary greatly, calculate them in groups rather than forcing everything into one average. You can run the calculator separately for recurring team meetings, client meetings and longer reviews, then add the totals.

A large meeting load is not automatically a bad meeting load

Time use and usefulness are separate questions.

A week with ten hours of meetings may be entirely appropriate for a role built around interviews, client conversations or team coordination. Another role may struggle to complete its core work with the same meeting load.

The calculator therefore reports time allocation rather than declaring a meeting schedule good or bad.

Put meeting time into the wider capacity plan

Once you know the complete meeting hours, subtract them from the working time available for other planned work.

Use the result to ask a better planning question

The useful question is not simply “Do I have too many meetings?”

A more practical question is whether the fixed meeting workload leaves enough time for the other work that the same week is expected to contain.

If it does not, the options may include changing task scope, moving deadlines, removing low-value commitments, shortening some meetings, delegating work or changing the number of hours assigned to a project.

The arithmetic does not choose among those options. It makes the capacity conflict visible enough to discuss.
