Use this when you want a simple visual distinction between tasks that are important, urgent, both or neither.
How this tool works
For each task, you answer two questions: is it important, and is it urgent? Important and urgent tasks go to Do First; important but not urgent tasks go to Schedule; urgent but not important tasks go to Delegate or Simplify; tasks that are neither go to Remove or Leave.
How to read the result
The matrix is a classification method, not an automatic priority score. Two tasks in the same quadrant can still need further ranking by deadline, consequence, effort or dependency.
Example
Preparing material for tomorrow’s client review may be important and urgent. Planning next quarter’s training may be important but not urgent. A routine request another person can handle may be urgent but not important to you.
What to watch for
- Urgent means time-sensitive, not merely visible or noisy.
- Important means connected to a meaningful outcome or responsibility, not simply something you would prefer to finish.

What if almost everything is important and urgent?
That usually means the matrix needs a second step. Use the Priority Picker or Workload Check to expose which items have the strongest consequences and whether the day has enough capacity.
Does “Delegate” mean I should always hand the task to someone else?
No. Delegation is one option. You can also simplify, batch or reduce the task if delegation is not appropriate.
