How this tool works
For each participant, the tool multiplies their hourly rate by meeting duration plus any preparation and follow-up minutes you choose to include. It then adds those participant costs together.
How to read the result
The result is a direct labour-time estimate. It does not measure whether the meeting produced enough value to justify the cost, and it does not include benefits, payroll taxes, facilities, travel or opportunity cost unless those are already reflected in the hourly rates you enter.
Example
A 60-minute meeting with four people earning 30, 40, 50 and 60 per hour has a direct meeting-time cost of 180. Adding 15 minutes of preparation and 10 minutes of follow-up per person raises the estimate because each participant spends more than the visible hour.
What to watch for
- Use consistent hourly-rate assumptions across participants.
- A costly meeting can still be worthwhile. The number should support a conversation about format, duration or attendance, not automatically cancel the meeting.

You can compare direct time estimates, but the communication methods may produce different outcomes and should not be treated as interchangeable purely because one costs less.
