Use this when the real problem is not a single task but the transition from a crowded list to a realistic plan. The workspace combines capture, triage, priority and capacity in one sequence so you do not need to restart in several separate tools.

How this tool works

First capture the open tasks. Then identify items that need action today, items that can wait and items that belong elsewhere. For the remaining tasks, rate urgency and importance, enter estimated effort and compare the selected work with the time you actually have. The final plan keeps only work that fits the capacity you entered.

How to read the result

A shorter plan is the intended outcome. Items left out of today are not automatically unimportant. They may belong on another day, with another person, or in a later review. If the selected tasks still exceed capacity, reduce scope or move work before adding more.

Example

You enter eight open tasks. Four survive the first triage. Their estimated effort totals 6.5 hours, but you have 4.5 usable hours after meetings and buffer. The workspace shows a two-hour shortfall and asks you to move, shrink or delegate at least one item before producing the final day plan.

What to watch for

  • Do not classify every visible task as urgent.
  • Use realistic effort estimates rather than best-case guesses.
  • Leave buffer for interruptions and work that takes longer than expected.

What happens to tasks that do not fit today?

They remain visible as deferred, delegated or later-review items so that removing them from today does not mean forgetting them.
