Planning Methods Reference
Planning methods are easier to use when you choose them by the problem they solve rather than by how familiar their names are.
A Brain Dump helps you capture. An Eisenhower Matrix helps you classify. A Priority Picker helps you rank. A capacity check tells you whether the chosen work fits. Dependency mapping tells you what can start. A weighted decision matrix compares options. These methods can work together, but they are not interchangeable.

Brain Dump: use it before you try to organise everything
A Brain Dump is useful when the main problem is capture.
You may have tasks, reminders, ideas, decisions and concerns mixed together. Trying to prioritise while you are still remembering new items creates repeated rework.
The Brain Dump lets you record the items first and then classify them as actions, reminders, decisions, worries, ideas or things to ignore for now.
Use it when:
- you are holding several unrelated open items;
- you keep remembering tasks after the plan is already made;
- you need one visible list before deciding what deserves action.
Do not expect it to tell you what belongs today. Move actionable items into the Overwhelm Sorter or Priority Picker after capture.
Overwhelm Sorter: use it to reduce the active list
The Overwhelm Sorter separates items into practical groups such as Do next, Schedule, Delegate or ask, Leave for later and Needs more thought.
It works best when the immediate problem is too many active-looking tasks.
Use it before detailed ranking when you suspect that several items do not belong in the same active queue at all.
If five tasks remain in Do next, the sorter has done its job. Use Priority Picker to decide the order inside that smaller group.
Eisenhower Matrix: use it for urgent-versus-important classification
The Eisenhower Matrix separates tasks into four quadrants:
- important and urgent;
- important and not urgent;
- urgent and not important;
- neither important nor urgent.
It is useful for protecting important work that lacks an immediate deadline and for questioning urgency that comes mainly from visibility or interruption.
The method becomes less useful when nearly every task lands in the important-and-urgent quadrant. At that point, a finer ranking method is needed.
Priority Picker: use it when several tasks are genuinely actionable
The Priority Picker compares deadline pressure, consequence of delay, importance, dependency and effort.
Use it when:
- several tasks can actually start now;
- several tasks survived earlier triage;
- one quadrant still contains too many items;
- you need a consistent comparison rather than relying on whichever task is most visible.
The resulting score is a planning aid built from your ratings. It does not create an objective measure of value.
After ranking, use Workload Check to see whether the selected work fits the time available.
Task Breakdown: use it when the task itself is vague
The Task Breakdown Tool is useful when “start the task” is difficult because the task describes an outcome rather than a concrete action.
Examples include:
- prepare launch;
- organise move;
- finish research;
- improve website;
- plan event.
Define what finished means, list known steps and identify the smallest useful next action.
If the steps depend on one another, continue with the Task Dependency Mapper.
Dependency Mapper: use it when sequence is constrained
The Task Dependency Mapper identifies work that is ready, blocked or acts as an unlocker for other tasks.
Use it when:
- one task needs information produced by another;
- approval is required before later work begins;
- project order matters more than individual task importance;
- you need to see which action unlocks several downstream tasks.
Do not confuse dependency with preference. A task is dependent when it genuinely cannot proceed or would create substantial rework without the earlier item.
Estimate Range Planner: use it when one duration number hides uncertainty
The Estimate Range Planner uses optimistic, likely and pessimistic duration estimates.
It is useful when:
- the work is unfamiliar;
- requirements are not fully stable;
- an external dependency may create extra work;
- the task could reasonably take much longer than the best case.
A wide range is useful information. It may mean the task needs more breakdown, research or buffer before it enters a deadline plan.
Capacity checks: use them after you know what work you want to do
The Workload Check and Weekly Capacity Calculator answer a feasibility question:
Does the work fit the usable time?
They do not decide what deserves priority. Use prioritisation first, then capacity.
This order matters. A task can be important and still not fit today. That does not make it less important. It means the schedule requires a trade-off.
The Planning Trade-Off Simulator can then test moving work, reducing scope, recovering meeting time or adding genuine capacity.
Time blocking: use it after priority and capacity
The Time-Block Day Planner assigns selected work to actual periods in the day.
Time blocking is most useful after:
- fixed commitments are visible;
- priorities are chosen;
- task durations are estimated;
- the total plan fits the available capacity.
Using time blocking before these steps can create a neat calendar that is still unrealistic.
Weighted Decision Matrix: use it for competing options
The Decision Helper compares options against factors that matter to you.
Use it when the problem is not task order but a choice between alternatives.
Examples include comparing:
- two project approaches;
- two software options;
- two scheduling arrangements;
- several possible commitments.
If the leading scores are close, use the Decision Sensitivity Explorer to check whether small changes to factor importance reverse the ranking.
Control and Influence Sort: use it when the situation includes external factors
The What Can I Control? tool separates direct control, influence and circumstances outside your control.
It is useful before a decision or worry review when the situation contains several parts.
The tool does not tell you how you should feel about an external situation. It narrows the set of factors where your own action can make a practical difference.
End-of-Day Reset: use it to close rather than continue planning indefinitely
The End-of-Day Reset captures unfinished work, tomorrow’s priorities and follow-ups.
It solves a closure problem rather than a prioritisation problem.
If tomorrow’s list is still too large, move it into Priority Picker and Workload Check rather than trying to solve the next day during the current evening.
Methods often work best in sequence
A realistic journey might be:
Brain Dump → Overwhelm Sorter → Priority Picker → Workload Check → Time-Block Day Planner
A project journey might be:
Task Breakdown → Dependency Mapper → Estimate Range Planner → Deadline Reality Check
A decision journey might be:
What Can I Control? → Decision Helper → Decision Sensitivity Explorer
The right method is therefore often the right next method rather than one framework you use for every problem.
